E4 Meetup at Worlds 2024 in Honolulu, HI

Hey everyone! As many of us are planning our trips to Worlds this August in Honolulu, myself and a few others have expressed interest in having another informal E4 meetup while we’re all there.

If you have yet to attend one of these meetups, in short, they are very informal and laid back. It’s a great way to meet, mingle, and trade with other forum/discord members who you have likely interacted with online before.

Ideally we would like to reserve a private room. This will likely require a community effort and the cost would be less with the more attendees we have. Please use the poll below to indicate your interest in attending a meetup. Nothing is set in stone yet, we are just trying to get an idea of how many people we can expect (should it be feasible). This thread will serve as a general brainstorm/planning tool, so feel free to share your thoughts and ideas below.

These meets are definitely worth holding if there are enough people interested. Last year at Yokohama worlds 2023 we had a private room reserved at a hotel and people were able to meet, chat, and trade for an hr. It was a blast!

When this is organized, if the organizer could reach out to me, I would be happy to contribute toward the event this year.

I’m going to throw my hat in the ring here and say I’ll be happy to set something up for the group. I know I threw something together for 2019 DC worlds and it went off really well (big thanks to @churlocker for help on that one).

If nobody opposes, then let me know! I’m thinking a Saturday night meet up close to the convention center might be cool to do again.

Thanks @silversnorlax204! I’ve sent off one email so far, and plan to send a handful more to hotels with conference spaces this weekend to get a gauge for availability and approximate cost. Looking at places a 10 min walk from the CC max right now.

I’m happy to continue on and reserve the space, but will shoot you a PM if you don’t mind to see if there is any advice you can share. I’ll include @churlocker on the DM too.

Thanks Will, feel free to send anything you want over and we’ll take a look. Really at this point I’m more curious as to the number of people who will be interested. Typically we do well, around 50 or so.

Appreciate it! I remember last year we had a little over 50 in the photo alone, and with people coming and going it may have approached 100.

Don’t expect that this year, so hoping the poll seaside started will give a gauge over time (I think he is planning to bump it from time to time), but 50 was about what I was thinking too. Would rather have too much room than not enough, so will look at spaces with capacity a bit higher than that, keeping costs in mind.

FYI Nate @subf who hosted it last year was very passive on how he collected money and ended up taking a large L in the end. So this year, let’s be sure to collect money proactively. Also I hope to that anything extra that is made can go to him to help offset the cost he generously took on last year.

Without a doubt we’ll do that. We’re a generous group so I have a lot of faith in us.

We currently have 20+ tentative attendee’s, I imagine at least 40-60 would be reasonable to expect.

And as @pfm mentioned, this should be a community effort. Once a room is reserved we could create an excel sheet to document who’s already contributed to the event fund, and what costs still need to be covered.

Thank you @churlocker, @silversnorlax204, and @Will for your help and input so far. I have a few dorky ideas of my own I’d like to throw out:

• Since the event is in Honolulu, we have the opportunity to make this meet up truly special with a TMB theme. Although probably more expensive, we should at least look into the Hilton Hawaiian village where the actual TMB’s were held as a venue. I think this would be really cool.
• Physical name badges for the event as a thank you to people who contribute before a deadline. (could look like leis, somehow?)
• Wear your Hawaiian print shirts

I’m open to ideas for sure (still trying to find a way to fund an open bar myself, but we’ve been trying to do that since 2019 lol).

That said, lets focus on the following:

  1. Head count. @SeasidePokemon You seem to have a list of folks? Can you create a thread/excelsheet/something so we have an idea on this?
  2. Location @Will You already seem to be on top of sourcing locations. Please continue this work and message me once you have some quotes close to the convention center.
  3. Nametags, we do this every year. @pfm you put together some really great ones last year, would you mind sourcing them again?
  4. Budget @churlocker Would you mind messaging me personally (Here, insta, FB, call me up to you) and let me know an estimate on your available funding, that should help us figure out the rest of the puzzle.
  5. Quarterbacking @silversnorlax204 Looks like your managing this, so god speed.
